Business Affairs

  • First of all, please check here whether your country requires a visa or not.
  • Here is an informations for those planning to toravel to Japan for short-term business affairs purpose.
  • "Short-term business affairs, etc." means a visa application for the following purposes:
        ◎ Participation in meetings, cultural exchange, exchange between municipalities, sports exchange, etc.
        ◎ Business liaison, conference, business meeting, contract signing, after-sales service, advertising, market research etc.
  • In case of a National Oceanic Resource Management Authority (NORMA) observer, it will take some time (1 to 2 months). However, please prepare the application documents according to the following guide.

Required Documents

1) Valid Passport:
  ☑ properly signed by the bearer.
  ☑ please make shure that there is at least 1 page left in your passport for a visa to be affixec to.
2) Visa Application Form:
  ☑ conpletely filled-out and signed by the applicant.

3) Photo:
  ☑ 2in X 2in
  ☑ attached to visa application form.
4) Entry-Permit (for Foreigners):
  ☑ Embassy will not make copy, please bring original and one copy.
5) Confirmation of flight:
  ☑ we may not be able to accept your visa application if you plan to fly a few days later.
  ☑ we advise applicants not to purchase airline tickets until the visa is approved.
6) Enployment Certificate:
  ☑ it should be written date of employment, job-title and reason for travel order to Japan.
  ☑ for self-employed, please submit a business registration.

Prepared by inviting person/ guarantor in Japan (You can use either the Japanese or English form)

7) List of Visa Applicants (when there are multiple applicants) (en/ jp) :
  ☑ when there are multiple applicants.
8) Letter of reason for invitation (en/ jp):
  ☑ a contract of transactions between companies, meeting materials, materials on trading goods, etc..
9) Schedule of Stay in Japan (en/ jp):
  ☑ be sure to mention the date of arrival and departure, as well as the flight numbers and airports/ ports of entry for arrival and departure, if they are fixed.
  ☑ write the place of stay in detail (in case of a hotel: its name, address and phone number).
  ☑ the schedule of stay needs to be weitten for each day. when similar activities continue on consecutibe days, it may be written as "(date) ~ (date)".

Prepared by the guarantor who pays for the above-mentioned travel expenses (You can use either the Japanese or English form)

10) Letter of guarantee (en/ jp): 
  ☑ more than one of the following documents.
         (1) the latest cortificate of income/ Taxation issued by the head of administration of the place of residence.
   (2) a certificate of tax payment (form 2), statement of tax withholding is not acceptable.
   (3) a copy of the counterfoil of final tax return with seal of reception of the tax office.
   (4) a certificate of deposit balance.

11) A certified copy of the incorporation register or An overview of Company/ Organization (en/ jp):
  ☑ an invitating organization is a corporate body, an organization, a state or a local government. houever, for example, if a university is extending an invitation for the purpose of exchange under the name of a professor, the university can be recognized as an inviting organization.
  ☑ in case of an organization registered as an incorporated entity, submit a cetified copy of the incorporation register issued within the last three months (not necessary for the state or a local government). in case of a company listed on a stock exchange in Japan, you can alternatively submit a copy of the latest edition of a quarterly corporate report.
  ☑ in case of an organization not registerd yet as an incorporated entity, prepare "An Overview of the Conpany/ Organization" and submit it in lieu of a certified copy of the incorporation register.
  ☑ in case of an invitation by a university professor or an individual, submit the "Employment Certificate".

Processing Time

  • The time to process an application for a Temporary Visitor Visa depends on the applicant's circumastaces.
  • There are some cases; however, in which a few weeks or more are needed to process an application.

  • Embassy reserves the right to request additional documents if deemed necessary.
  • Embassy will not make copies, if you need original documents (e.g. Entry-Permit), please bring original and one copy.
  • If you have traveled for the same purpose in the past, please submit the above required documents each time when you apply.
